Gas station receipts
A fuel receipt usually connects fuel grade, volume, unit price, and the final sale amount. A temporary card hold can differ from the completed purchase and should not replace the final receipt total.
Create ReceiptWhich fields to keep
Start with the business name, actual purchase date, currency, and payment method. Add the known details for this transaction:
- Fuel grade and pump number
- Gallons or liters and price per unit
- Fuel sale and separate shop purchases
Review subtotal, tax, tip, and fees
Multiply the recorded fuel volume by its unit price, allowing for the source’s rounding. Keep convenience-store purchases on separate lines. If taxes are embedded in the posted fuel price, do not add an invented tax amount on top.
Add the line amounts, subtract discounts once, and reconcile tax, tip, and fees with the amount paid. If there is a difference, review the source before adding an adjustment. An unknown amount is not the same as a confirmed zero.
Reading the numbers
An observed rate is not a statutory rate
If a receipt shows a $50 subtotal and $3 tax, $3 ÷ $50 × 100 = 6%. That is the observed proportion relative to that subtotal. This is an arithmetic example, not a recommended tax rate for this category.
A mix of taxed and untaxed items, discounts, or fees can change the base. With a zero subtotal, that percentage cannot be calculated. Preserve the documented tax; do not infer tax rules or invent a rate from one receipt.

- Gather the available records and ask the merchant for a copy if you need its original.
- Open Create Receipt, choose the style and width, and enter only known details of a real transaction.
- Review line items and totals. Leave unknown details blank or identify them as unknown.
- Set Payment → Purchase date and review the preview before saving. A recreated record does not become a merchant-issued original.
Save and organize in CMR Vault
Use the merchant and purchase date from the completed sale. A Vault name can identify a trip or vehicle, while the merchant field remains the station name.

Should I use the card hold as the total?
Use the final completed sale amount. If only a temporary authorization is available, wait for the final record rather than presenting the hold as a settled purchase.
Is this receipt verified by the merchant?
