Find a Hotel Receipt After Checkout and Organize Travel Charges

A reservation confirmation and a final hotel bill answer different questions. Find the hotel-issued folio first, then organize only charges you can verify.

A booking confirmation tells you what you reserved. The final hotel receipt or folio shows what the property actually charged after checkout. Room rates, taxes, parking, meals, credits and adjustments can make those amounts different. If you need a purchase record for a travel budget or an expense submission, start with the hotel-issued folio rather than rebuilding the bill from a reservation email.

Ask for the original folio first

Check the email address used at checkout, the hotel's app and your stay history. If you cannot find the bill, contact the property with the stay dates and reservation details and ask for its final folio. If a travel agency or booking platform handled payment, check which party issued the charge and request the applicable receipt from that party. A card statement can help identify a payment, but it usually cannot explain each room-night charge or hotel fee.

Hilton's official receipt instructions provide a concrete example. For a stay within the past 12 months, Hilton Honors members can sign in, open Your Stays, filter to Previous stays, and choose View Receipt. The Hilton Honors app offers Stay history and View receipt. Hilton says to contact the hotel directly if you are not a member or cannot find the receipt. Other hotel groups may have different account paths and time limits; use their current instructions or ask the property.

Save the original PDF or email when you receive it. If a charge looks wrong, ask the hotel for a corrected folio. Editing your own tracking record does not correct the hotel's bill.

Review the charges before you file the trip

Check the guest and property, check-in and checkout dates, each room-night rate, taxes, property fees, parking, food, discounts, deposits, credits and final payment. Distinguish the date of stay from the date a payment posts. Keep any separate meal or parking slip that explains a line on the folio, but do not count it as another expense if it is already included in the final hotel total.

A card's pending authorization also deserves a separate check. A temporary hold is not automatically the final settled cost. Compare the completed card transaction with the folio and ask the hotel or card issuer about any unresolved difference.

A simple example

Suppose a two-night stay has room charges of $140 per night, $35 in taxes and $20 for parking. The final folio totals $335: $280 + $35 + $20. Suppose your card first shows a pending $435 authorization. Do not enter $435 as hotel spending merely because it appeared temporarily. Once the payment settles, match the settled amount to the hotel folio; investigate any difference instead of forcing the numbers to agree.

If a later $20 parking refund is confirmed, keep the original $335 purchase and a separate $20 refund record. Your net outlay becomes $315, but the two records explain why it changed. This is a hypothetical example, not a claim about any hotel's authorization or refund policy.

Make a useful travel record

Name your folder with the trip dates and destination. Keep the original folio, booking confirmation, payment record and any correction together. Add a short note for the trip or client, if relevant, but keep that personal context separate from the hotel's document. If an employer or client has an expense policy, check what source documents it requires; a self-created record does not guarantee reimbursement.

When an original cannot be recovered, CreateMyReceipt's manual receipt editor can help you organize a personal record from details you can confirm. Do not fill in unknown taxes or fees to make a total work. The record is for your own tracking, not a hotel-issued folio. For other travel costs, keep fuel purchases in the same trip folder; our fuel-cost and receipt guide shows one way to review those entries.

With applicable paid export access, CMR can export confirmed records to CSV or Excel/XLSX. CSV is useful for sorting trips by date, destination or expense type and comparing the hotel cost with other travel purchases. Review the structured amounts, taxes, fees and refunds before exporting: changing printed wording or spacing does not automatically change the numeric export data. Preserve the hotel-issued original beside the spreadsheet.

Quick questions

Is a reservation confirmation the same as a hotel receipt?

No. The reservation describes the planned stay; the final folio documents charges and adjustments after checkout.

What if my account has no past-stay receipt?

Check the hotel's official help path and contact the property. Hilton specifically directs nonmembers and people who cannot find a receipt to contact the hotel. Do not guess missing line items from a card total.

Can I use a personal CMR record for reimbursement?

It can organize verified information, but the recipient decides what evidence it accepts. Ask for the hotel-issued folio and follow the recipient's document rules.
